Does any of this sound familiar?
- Project managers can find plans and status reports, but decision rationale is scattered across chat, email, and meeting notes.
- A client change request altered scope, timing, assumptions, or acceptance criteria, and the team documented the effect.
- You want to explore AI support for delivery work without confusing a project archive with permission to reuse client material.
Project plans, risk logs, change requests, decisions, and acceptance records matter when they link an assumption to an owner, changed plan, and result—not simply because files are numerous.
Artifacts mix firm methods with client data, licensed tools, subcontractor contributions, and client-owned deliverables. Map rights before lessons-learned analysis or AI evaluation.
Not ready to share a single file? You don't have to.
Take the 3-question fit checkThe problem
A project archive can lose the chain of accountability
If a dependency slips and a steering group changes rollout order, a status report may show recovery but omit the triggering risk, approver, changed assumptions, or client acceptance. Unlinked snapshots can teach reporting format without delivery judgment.
Minutes may reveal client strategy, vendor diagrams may be engagement-limited, and plans may mix firm templates with client staffing. Do not infer AI rights from a general clause. Check confidentiality, personal data, retention, and deletion commitments.
A status color is not a decision trail; preserve the reason, authority, and consequence behind it.
The solution
Create a project record map before selecting examples
Treat this as a project-controls exercise first. The objective is to make governance and provenance visible while keeping client documents in their existing approved systems.
DataSupply partners only with labs that meet its top 0.01% credibility standard. We help assess whether a qualified buyer may be a fit and negotiate terms that reflect the data's potential value, including exclusivity where relevant. We also help you work through diligence questions about rights, privacy, security, and compliance, then present a high-level inventory of permitted records, not the dataset. Fit is specific to each situation; no buyer or value is guaranteed.
What to inventory before any buyer conversation
- Reconstruct a bounded delivery episode Use a completed internal or explicitly cleared example. Link baseline, risk, decision owner, approval, change, revised milestone, acceptance, and outcome; mark gaps rather than infer them.
- Separate work products by origin and rights Tag firm methods, client inputs, joint work, third-party material, and personal data. Check statements of work, subcontractor terms, tool licenses, confidentiality, training, evaluation, derivative, and retention permissions.
- Specify a task with review criteria Define a task such as spotting a missing change approval. Use an authorized test set with reviewer rationale and professional grading. Purpose-built evaluation tasks are not a historical operational corpus.
Set the boundaries before discussing access.
Exclude client details and restricted deliverables absent explicit rights. Set purpose, users, environment, retention, deletion, incident response, onward sharing, training limits, and output review. Require least-privilege and engagement, security, privacy, and legal approval.
What could make a permitted example useful?
Decision links may support internal learning or evaluation, but rights and quality determine feasibility; no licensing market is promised.
A practical first step.
At the next project closeout, ask the PMO to test a decision-to-outcome index on one authorized project without moving the underlying files.
datasupply.ai can discuss possible fit and buyer questions without receiving your dataset. You decide whether to pursue any introduction. No buyer, license, or payment is guaranteed.
Documented example / what it proves
A public project standard reinforces governance and control
The UK Government’s GovS 002 standard sets expectations for managing portfolios, programmes, and projects. Its structure covers governance, roles, planning, control, delivery, and transition or disposal. These topics support named authority, controlled changes, and intentional closeout. Read UK Government, Government Functional Standard GovS 002: Project Delivery.
For a firm, the lesson is to preserve decisions and change control rather than treat deliverables as self-explanatory. This government standard does not establish that private project records were licensed or make client records reusable.
The important limit: GovS 002 sets public-sector project-management expectations; it is not proof of a closed data license, private-client authorization, or demand for a firm's historical project archive.

How traceable are your project delivery records?
Think about one completed project and its rights, not the size of the shared drive.
